Privacy Policy

Effective May 23, 2026

We do not sell your personal information. We do not share your phone number with third parties or affiliates for their marketing purposes. SMS opt-in data and consent records are not shared with any third party for any purpose.

1. Who we are and what this policy covers

This Privacy Policy describes how NetixOps (“NetixOps,” “we,” “us,” or “our”) collects, uses, shares, and protects information about you in connection with our website, web application, mobile applications, APIs, SMS notifications, and related services (collectively, the “Service”). It applies to information processed when you visit netixops.com or any tenant subdomain, sign in to the Service, or otherwise interact with us.

Controllers vs. processors. When you use the Service on behalf of an Agency, the Agency is the controller of operational data created in its workspace (incidents, chat, location, dispatch). NetixOps acts as a processor for that data and processes it under the Agency’s written agreement with us. For account-creation data, marketing-site visits, and any direct relationship you have with us, NetixOps is the controller.

2. Information we collect

Information you provide.

  • Account info: name, email address, password (hashed), and (if you set them) display name, rank/title, Agency name, and profile photo URL.
  • Phone numbers: personal mobile and work/agency mobile, plus per-number SMS opt-in status and the timestamp of your most recent opt-in.
  • Profile content: bio, certifications, and any other information you choose to add.
  • Operational content: incidents you create or participate in (titles, descriptions, status, location, annotations), chat messages and attachments, push-to-talk (PTT) voice recordings, and resource records (personnel, vehicles, aircraft, equipment) added by Agency administrators.
  • Support / contact: any information you provide when you contact us by email, SMS, phone, or the contact form on our website.

Information collected automatically.

  • Device and log data: IP address, browser type and version, operating system, device identifiers, referring URLs, pages viewed, timestamps, and crash logs.
  • Location data: when you actively share your location during an incident, we collect your device’s GPS coordinates and broadcast them to other members of that incident. You control sharing; you can stop at any time from within the app.
  • Cookies and similar technologies: we use cookies and local storage for authentication, session persistence, and remembering preferences such as theme and panel widths. See Section 10 below.

Information from your Agency. If your Agency provisions your account, we receive your name, email, and role from the Agency so we can set up your access.

3. How we use information

We use the information described above to:

  • operate, maintain, secure, and improve the Service;
  • authenticate you, provision your Agency’s workspace, and route messages and alerts;
  • deliver SMS, push, and in-app notifications you have opted in to;
  • respond to support requests and communicate with you about your account, service updates, and security advisories;
  • monitor, prevent, investigate, and mitigate fraud, abuse, unauthorized access, and violations of the Terms;
  • comply with legal obligations (including TCPA / 10DLC consent records, tax, accounting, and government requests); and
  • develop new features and conduct internal analytics using de-identified or aggregated data.

We do not use Customer Data to train generative AI models or sell it to third parties.

4. SMS / text messaging

When you opt in on the profile page, NetixOps sends recurring text messages to the number(s) you opted in. Messages include incident dispatch alerts, callout activations, status changes on incidents you are assigned to, and occasional account or service notices. Your consent is not a condition of using the Service.

Message frequency varies with incident activity in your Agency. Message and data rates may apply. Reply HELP for help. Reply STOP at any time to unsubscribe — STOP also clears the corresponding opt-in on your profile. Carriers and NetixOps are not liable for delayed or undelivered messages.

We never share phone numbers, SMS consent data, or opt-in status with third parties or affiliates for marketing purposes. We use phone numbers only to deliver the messages you have authorized.

For SMS support, contact us at support@ops.netix.co or (813) 723-7944 (call or text, 24/7).

5. How we share information

We share information only as described below.

  • Within your Agency. Your display name, role, photo, and any content you add to incidents is visible to other Authorized Users in your tenant who have permission to see those incidents (per the visibility setting on each incident). Your phone numbers and bio are visible to other members of your Agency only if shown by the in-app interface; SMS opt-in status is never displayed to other users.
  • Legal and safety. We may disclose information when we believe in good faith that disclosure is necessary to (a) comply with applicable law, lawful government request, or court order; (b) enforce our Terms; (c) detect, prevent, or address fraud, security, or technical issues; or (d) protect the rights, property, or safety of NetixOps, our users, or the public.
  • Business transfers. If NetixOps is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of the transaction, subject to standard confidentiality protections.
  • With your consent. We may share information for any other purpose with your explicit consent.

We do not sell personal information. We do not engage in “sharing” or “targeted advertising” as those terms are defined in U.S. state privacy laws (including CCPA/CPRA, VCDPA, CPA, CTDPA, and UCPA).

6. International data transfers

NetixOps is based in the United States and processes information in the U.S. and other countries where we operate. If you access the Service from outside the U.S., you understand that your information may be transferred to, stored, and processed in countries whose data-protection laws may differ from those in your country. Where required, we rely on appropriate transfer mechanisms (such as the EU Standard Contractual Clauses) to safeguard cross-border transfers.

7. Data retention

We retain information only as long as needed to provide the Service and meet the purposes described in this policy, unless a longer period is required by law.

  • Account and profile data: for the lifetime of your account, then deleted within a reasonable time after deletion is requested (subject to legal holds).
  • Incident and operational data: retained per your Agency’s configured retention policy.
  • PTT voice recordings: deleted nightly by a scheduled job (rolling 24-hour retention).
  • SMS consent records: retained for at least four (4) years after opt-out to satisfy TCPA / 10DLC recordkeeping requirements.
  • Logs and security events: typically retained for 30 to 90 days, longer when investigating incidents.
  • Backups: may persist for up to 30 days after deletion in primary stores; backups are encrypted at rest.

8. How we protect information

We implement technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration, or destruction. These include: encryption in transit (TLS 1.2+) and at rest, row-level security in our database to isolate tenant data, scoped service-role credentials, least-privilege access controls for employees, audit logging, secure software development practices, and routine third-party penetration testing on a risk-based cadence.

No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at support@ops.netix.co or (813) 723-7944.

9. Your rights and choices

Depending on where you live, you may have rights to:

  • Access the personal information we hold about you;
  • Correct inaccurate information;
  • Delete your personal information;
  • Port your data to another service in a portable format;
  • Restrict or object to certain processing;
  • Withdraw consent at any time where processing is based on consent (including SMS opt-in); and
  • Appeal a decision we make about a privacy request.

How to exercise rights. Most rights can be exercised directly in-app on the profile page (edit, remove, or clear SMS opt-ins). For everything else, contact your Agency administrator or email support@ops.netix.co. We will verify your identity before acting on requests relating to non-public information.

State-specific rights. Residents of California, Virginia, Colorado, Connecticut, Utah, Texas, and other U.S. states with comprehensive privacy laws may have additional rights. California residents may designate an authorized agent to make requests on their behalf. We do not knowingly sell or share personal information; the “Do Not Sell or Share My Personal Information” requirement therefore does not apply to our processing.

EU / UK / Swiss rights. If you are in the European Economic Area, the United Kingdom, or Switzerland, you may also have the right to lodge a complaint with your local data-protection authority.

10. Cookies and tracking

We use a small number of strictly necessary cookies and similar technologies to keep you signed in, remember your theme preference, and persist UI settings like panel widths. We do not use third-party advertising cookies and we do not track you across other websites.

We honor Global Privacy Control (GPC) signals where applicable. Because we do not sell or share personal information for cross-context behavioral advertising, a GPC signal does not change how we process your information.

11. Children

The Service is not directed to children. We do not knowingly collect personal information from anyone under 13 (or under 16 in the EEA / UK). If you believe a child has provided us with personal information, please contact us and we will delete it.

12. Third-party links

The Service may contain links to third-party websites and services we do not control. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before sharing information with them.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the revised version here and update the “Effective” date above. Material changes will be announced in-app or by email at least 14 days before they take effect. Your continued use of the Service after the effective date constitutes acceptance.
